Job Title: Executive Director/Administrator

Department: Administration

Reports to: Owner

Status: Exempt, Full-Time

 

 

Summary: The Executive Director/Administrator of the New Ivy Lodge, LLC is responsible for ensuring that residents are supported in achieving the highest possible quality of life; that committed staff provide excellent services to each resident, and that Ivy Lodge is operated in a fiscally sound manner.

 

Essential Job Responsibilities:

Staff Related Duties

• Hire, fire and schedule staff, including maintaining enough part time and back up staff to fill openings as needed.
• Motivate staff by providing regular feedback and support in a way that enhances morale and job performance, and allows for job and career growth.
• Oversee staff training, including scheduling routine in-services, identifying training opportunities for staff growth.
• Overseeing each department to ensure its smooth operation within budget.

Resident Services

• Perform initial and periodic assessments or ensure that the case manager or other designee perform assessments
• Ensure that we are able to support resident needs/preferences as identified in the assessment process either directly or through coordination with outside providers
• Oversee medication management and personal care services
• Responsible for, oversees and usually participates in resident service planning process.
• Encourage residents and their families/support systems to provide additional services as needed, or initiate move-out if resident needs more services than can be provided at the site
• Ensure that services are provided as promised.

 

 

Fiscal Responsibilities

• Provide oversight of fiscal tasks, including payroll submissions and invoices; maintenance of records and oversight of petty cash and site credit cards; other financial records as requested; ensure that staffing and other costs are within budget; collection and deposit of rent checks, report any late payments (after the 8th of the month).

Marketing and Public Relations

• Maintain and implement a schedule of outreach and public information activities
• Act as the credible, knowledgeable face of the facility in the wider community
• With nursing and other clinical staff, assess potential residents for suitability for the facility
• Tour and meet with potential residents and families, and assist them in making a transition to Ivy Lodge
• Maintain full occupancy with a waiting list

Regulatory Compliance and Safety

• Maintain systems and reports consistent with regulatory requirements
• Schedule his/her time as needed to ensure the smooth operation of the facility, as well as being available at all reasonable times for “on-call” and emergency response duties. 
• Ensure that we are complying with health codes, ADA, OSHA and other relevant laws

 

Education Requirement: Master’s degree or equivalent and experience in management of seniors housing or a related field.

 

Qualifications: to perform this job successfully, an individual must be able to perform each essential function satisfactorily. The employee must exhibit a professional and respectful manner, conservative appropriate dress, and excellent personal hygiene are essential. You must undergo a criminal back ground check.

• You will be required to take a First Aid class and keep it current.
•  If you drive for our facility, you must have a current and clean NYS driver’s license.
• You are required annually to do a health reassessment.
• Attend monthly staff meetings.
• Attend in-service trainings as well as external trainings as directed

 

Language Skills: You must be able to communicate clearly and cordially with all residents, residents’ families, vendors, and outside health and service providers as well as with all other Ivy Lodge staff. You must be able to understand verbal and written instructions as well as possess the ability to write notes in English.

 

Reasoning Ability: You should be able to apply common sense understanding to carry out verbal and written instructions.

 

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to stand for long periods of time, walk, use hands to finger, handle or feel; reach with hands and arms; climb and balance; stoop, kneel, crouch, or crawl, carry objects without dropping them, talk, and hear. The employee is occasionally required to sit. The employee must be able to lift and/ or move more than 50lbs.

Work Environment: While performing the duties of this job, the employee is frequently exposed to moving mechanical parts. The employee is exposed to wet and/or humid conditions and hot and cold environments, high precarious places, fumes or airborne particles; sharp utensils, toxic or caustic chemicals; outside weather conditions; risk of electrical shock and vibration.
